Privacy Policy

Data Protection Act 1998

The Find a Counsellor service is licensed in accordance with the legal requirements of the UK's Data Protection Act 1998. This means that we must follow strict procedures specified by the Act when collecting and handling sensitive information about individuals. Further information about the Act and what it means can be found at:

We are registered as Counselling Channel Ltd. (this is our 'Data Controller Name'). Our registration number (also known as our notification number) is PZ158412X.

For counsellors advertising in the Find a Counsellor directory:

In submitting a profile on Find a Counsellor, you are agreeing that all the information given can be made publicly available with the strict exception of your directory subscription payment details, your email address (users will still be able to contact you via email using the Find a Counsellor directory) and optionally your full address (you will have the option of limiting publicly viewable address details to a display of only city/town/village, county/state, country and first half of postcode).

What information will registering counsellors need to give?

Address Details:

Contact Details:

Counselling Information:

Credit/Debit Card Details:

Note that The Counselling Channel never at any stage sees or stores your credit/debit card details since these are handled by an established and secure transaction-processing company (see below). The only exception concerns any order-payments received by post, fax, email or phone instead of via (the more usual) on-line means.

Why is this information required?

Your address details are required so that the search function on our directory will work correctly, thus enabling those searching for a counsellor to better find one in their own area. We understand that some individuals will not want their full address displayed on the Internet and for this reason the only mandatory displayable address fields are as follows:

Your email address and telephone number are both required so that we can contact you regarding any queries and let you know that your profile has been approved (or not approved as the case may be). These details are also required to enable those searching on our website to contact you (although your email address will be hidden from users, they will still be able to contact you via email using this email address).

We guarantee that your email address will not be passed to any 3rd party unless we are required to do so by law (e.g. as a result of a criminal investigation).

Details of languages spoken fluently (e.g. English) are also required, since prospective clients will certainly wish to know about this.

Other mandatory information includes details of your relevant accreditation(s) and session charge rates. You can also optionally give much more information about yourself, including your practitioner qualifications and details of your experience, the code of professional ethics you adhere to, the type of client(s) you see, the way(s) in which you work, and the theoretical approach(es)/model(s) you work with. The more information you give, the better it is since the purpose of our site is to provide those searching for a counsellor with information about you before having to contact you. Beyond the mandatory items, each counsellor can choose how much or how little information they wish to give.

We will need proof of your professionalism before your application for a directory listing can be accepted. However, unless you yourself choose to include such details in your public profile, such details are stored confidentially by us - apart from details of relevant accreditation(s) - and will never be passed onto any third party.

Your name and credit/debit card details are used to take the agreed payment for your listing out of your account.

How are your card details protected?

The Counselling Channel never at any stage sees or stores your credit/debit card details. All transactions are processed by SecureTrading, a well-established UK-based company whose payment service provider credentials are accepted by - and integrate with - all the major UK banks and several international banks, including HSBC, LloydsTSB Cardnet, Barclaycard Business, NatWest, American Express, Bank of Scotland and others.

SecureTrading use a secure server and all communication within the SecureTrading system is strongly encrypted using 2048-bit Public/Private Key encryption with variable 168-bit session keys. This is many more times secure than standard browser SSL security.

When you enter your payment details the locked padlock symbol will be displayed in your browser window, which means the website is secure and you can safely send private information through it.

Cancellations, Refunds and Payment-Taking Policy

Cancellations and Refunds Policy

  1. If you wish to cancel your listing you can do so by emailing with your name, address and a brief note explaining that you'd like to cancel your subscription. Please note, however, that any such cancellation will not take effect for 30 days (i.e. a 30 days notice period operates) in terms of due subscription payments: any payment due to be taken by us within those 30 days will still be taken even if your chosen subscription is annual (as distinct from monthly) and the next annual payment happens to fall due within those 30 days. We will not reimburse you for any subscription payment or "Top Spot" payment already taken.

If you cancel your subscription but then later decide that you wish to re-join the directory, you can - by logging into the system using your original user-name and password - reactivate, update and resubmit your original application form without having to re-enter all of the same information again.

  2. If we decide, for whatever reason, to cancel your listing in Find a Counsellor, then no further subscription payments will be taken after the date of such cancellation and we will refund any whole-month subscription payments that are yet to be taken at the time of our cancelling your subscription: e.g. if you have a 12-month (i.e. annual) subscription which we cancel during the 3rd month, then we will refund 9 months' worth of the annual subscription cost as it applied at the time of your subscription.

If the Find a Counsellor service (directory) should ever be discontinued (shut down), then this will be deemed to be equivalent to our having cancelled each and every individual subscription, in which case the same whole-month refund policy, as described above, will apply in respect of each individual subscriber.

Payment-Taking Policy

We will not take any subscription payment from your card until we have accepted your application for an entry in the Find a Counsellor directory. Payment will begin from the first day your listing is visible. If your application fails for any reason (for example due to lack of proper qualifications) then we will not charge your card.

Please note that repeat subscription payments - whether monthly or annually according to your choice - will be automatically taken on the due date(s) unless either we cancel your subscription (in which case, and with immediate effect, no further subscription payments will be taken) or you cancel your subscription with 30 days notice.
